Join a dynamic and passionate team serving more than 500 seafarers (French and foreign) in a multi-vessel context (cable ships, offshore wind maintenance vessels, Marion Dufresne, Ro-Ro vessels, etc.).

Missions :

As a member of the crew department, in charge of the management of flight personnel, at the LDA group headquarters, the administrative assistant will be responsible for the following tasks

Administrative management of flight personnel:

  • You will be responsible for the following tasks: Administrative management of the crew: – Support to each division of the crew department:

Succession & Recruitment Unit:

  • Filing of the French and Filipino seafarers’ mark sheets;
  • Creation of new seafarers;
  • Documentary filing and updating of seafarers’ files;
  • Follow-up of responses to applications;
  • Issuance of electrical clearances for seafarers;
  • Follow-up of visas for seagoing personnel.

Payroll Division:

  • Filing and copying of expense reports;
  • Participating in the enveloping and transmission of pay slips.
  • Administrative support on matters related to the payroll of flight personnel.

Training Unit:

  • Preparation of administrative training files;
  • Follow-up of invoicing (training invoices, ancillary costs);
  • Filing and archiving of files.

Ship’s mail :

  • Receiving ship’s mail/fold from the crew and technical department (letters, newspapers, publications, nautical documents), sorting/distributing according to ships.
  • Management of the dispatch (DHL, TNT or equivalent) of mail to the ships and transmission of information to the agent and the Captain with the number of the dispatched letter.
  • Updating the dispatch book (name, address of the Agent and number of the envelope, date of dispatch, list of documents sent).

Profile/ Experience :

Education required:

Minimum level of BTS Assistant Manager/ Management or equivalent.

Experience:

A first experience in the field of administrative assistance is required.

Language(s):

French / English: read, written and spoken fluently.

Skills :

Autonomy, rigour and versatility.

Team spirit and ability to adapt.

Pre-requisites:

Proficiency in MS Office (Excel).
